Job Description We are looking for an Executive Assistant to support our Chief Financial Officer (CFO) and Chief People Officer (CPO) in downtown Toronto. The Executive Assistant will provide day-to-day administrative support to the executives with calendar, travel and expense management, while acting as a gatekeeper against any waste of time, collecting and driving a list of key decisions that need to be made each day, and taking on variety of tasks, as needed, to keep the Executives’ office running smoothly. The successful candidate must be detail oriented, proactive and adaptable, and be able to work independently in a fast-paced environment and to exercise discretion while managing confidential information. They will anticipate and triage issues before they arise, act as a liaison and problem solver, and help improve the flow and productivity of the Executives and their teams. This role serves as the first point of contact, controlling activities to ensure they are organized and prioritized, and completed effectively and efficiently. The successful candidate is responsible for organizing schedules and correspondence to ensure the smooth operation of the Executives’ offices, for independently following-up on action items, maintaining calendars, coordinating travel arrangements, submitting expenses, maintaining files, preparing correspondence and other presentation material. Responsibilities: Complete a broad variety of administrative tasks for the executives; including but not limited to: managing a very busy calendar, expense reports and preparing all materials for executives in advance of meetings and presentations Arrange travel and accommodations, compile documents for travel-related meetings Determine priorities while dealing with conflicting deadlines in a fast-paced environment Support the management of correspondence & communications i.e. message follow ups, email management, internal & external liaison Attend/facilitate meetings and document discussions and actions (taking minutes), and follow up post-meeting on action items Coordinate the submission of key documents for Executives, inclusive of monthly and weekly reporting requirements Manage the Executives’ office by providing feedback and direction on priorities, managing expectations and follow-ups with the Executives and the team, as necessary Own the day-to-day workflow of the Executives, and work with the team to prioritize and gain a holistic understanding of needs. Qualifications Post-Secondary Education A minimum of 4 years’ experience supporting a finance executive Demonstrated strong organizational capabilities with the ability to handle multiple priorities from multiple executives and fluctuating workloads while adhering to strict deadlines Self-starter with the ability to work independently as well as part of a team Advanced MS Office Skills (PowerPoint, Word, Excel, Outlook) Strong time management skills with the ability to prioritize a heavy workload Excellent oral and written communication skills Ability to effectively connect with all departments and levels of the organization Strong attention to detail Ability to maintain and run highly confidential information We believe in processes and the power of planning, but you will often have to roll with the punches and prioritize the most impactful tasks on the fly: you embrace unexpected projects and ask for help freely.
