THE OPPORTUNITY: ARCX is looking for an Production Coordinator to oversee our RMA process and support our customer service/production team. This will include document control, administration, and customer interaction. As a key member of our team, you will use your superior Excel skills and keen organizational abilities to ensure units are tracked, repaired, upgraded and returned to the customer.

This position will support the Production Manager and Project Manager in an administrative capacity.


  • Filling customer orders in collaboration with Logistics department and Accounting team.
  • Responding to customers regarding their order enquiries in a timely and professional manner.
  • Shipping and logistics of outgoing orders, including customs paperwork, under supervision of logistics coordinator.
  • Assist in preparation of purchase orders.
  • Prepare pick lists, repair instructions, and packing slips.
  • Co-ordinate the assembly of cables, peripherals, and products, internally or with suppliers.
  • Track and recommend stocking levels of saleable products.
  • Material handling: receiving of incoming materials, processing associated paperwork, data entry.
  • Create and maintain documentation for unit repairs to our third-party production site.
  • Assist the Senior Production Coordinator in processing and tracking customer RMA units, including coordination of parts inventory, shipping, and tested replacements units.
  • Prepare and maintain RMA summary reports.
  • Examine and repair units as part of RMA process. Quarantine stock when necessary.
  • Create and maintain tracking documentation for RMA units.
  • Assist in re-assembly, inspection of units, and final quality check.
  • Responsible for packing and shipping of units for return to customer.
  • Occasional use of personal vehicle to make small deliveries or pick up parts (locally in the Markham area).
  • Maintain a clean and safe work area at all times.
  • Other tasks as requested from time to time.


  • 2 - 3 years experience in a similar role
  • Ability to lift up to 50 pounds occasionally required
  • Advanced Excel skills; Microsoft Office suite (Outlook and Excel)
  • Shipping and logistics experience a plus
  • Experience in manufacturing preferred, but not required
  • Superior problem solving and customer service skills
  • Excellent attention to detail, organizational skills
  • Ability to manage multiple changing priorities and tasks
  • Ability to communicate in English is required (to communicate and respond to customers and co-workers)
