We need a remote Project Coordinator, Reporting & Administration to join our growing team. You are part administrator, part organizing superstar, and all efficiency. You might even say you have a way with numbers - and making sense out of them. You are committed to supporting a great team wherever they are needed, can build relationships, and learn new technologies and approaches quickly.

This role is at the core of our business. You are going to continue to make us fabulous and you are a key part of making us grow.

What will you do as our new Project Coordinator, Reporting & Administration?

You will split your time between the Project Coordinator, Reporting & Administration team. You are the “backbone” of TalentMinded and will be taking care of everything from administrative needs and client requests to various behind the scenes operations.

No day will look the same for you, and you will need to adjust your schedule to accommodate and manage timelines accordingly. Part of your role will have you working with our reporting team to assist with anything from data collection to data input. You will also help with day-to-day operations, including assisting with supporting our clients from a project administrator perspective, conducting research, note-taking, and aiding with any last-minute requests.

As a Project Coordinator, Reporting & Administration , you will:

  • Create Reports & Dashboards. This role is 50% reporting, and you will ease the workload for our reporting team by helping pull data from our applicant tracking system into the reports and assisting with any Ad Hoc requests. You will also assist by contributing clean raw data to be used for analytics and setting up dashboards to be presented to the client.
  • Assist. This is a constantly changing environment, with lots going on. You need to be flexible to do a little bit of everything. You will assist with scheduling interviews, posting jobs, reporting and dashboards, client inbox management, documenting processes, and supporting day-to-day operations.
  • Represent our brand. You will assist with presenting data to clients, follow up on meeting requests, help with client scheduling and gather information. You may be asked to attend client meetings to take notes, run PowerPoint presentations or support the leadership team.
  • Build relationships. You will reach out to universities in our immediate market areas and beyond to build relationships with their career centers. You will target opportunities to reach recent graduates and alumni in Computer Engineering, Information Technology, Marketing, Communications, and more. We want to be the go-to for job-seekers, and therefore we need to do everything we can to find talent and maintain positive relationships with our candidates and clients.
  • Be TalentMinded. You will enjoy the benefits of working with a highly networked, extremely talented group of people. You will provide support for special projects including candidate surveys, co-op programs, and meetups. Help us build our brand and we will help you build yours.

What you bring:

  • A degree or diploma in a relevant field but more importantly, a love of recruitment.
  • The ability to learn new applications quickly.
  • A solid understanding of business acumen and hands-on experience supporting a fast-moving team, with multiple parts, people, deliverables, and layers.
  • An ability to multitask. You can juggle, jump through hoops, tuck, and roll, and zigzag without knocking anything over. You are an administrator with outstanding organizational and prioritization skills.
  • An expert understanding of Google Drive and MS Office. We track all our data, sources, and research in Excel and you will need to do the same.
  • A sense of balance and of ownership. You can work fast but you can easily change priorities. You are meticulous but you understand the importance of producing results quickly. You don’t need to be told what to do, you see gaps, and you fill them. If there is work to be done, you are already on it.
  • A sense of fabulousness, fun, and fashion (ok, not actually fashion but a love of the colour turquoise will definitely garner bonus points!).
  • A commitment to treating people well, to appreciating hard work, to inspiring loyalty, to motivating participation, to being accountable.

What’s the downside?

  • We are still scaling. We have awesome onboarding processes and capitalize on training opportunities when they arise but we don’t have a formal training and development department. You will need to take the initiative to identify when and where you need professional development opportunities.
  • We work fast. Recruitment is hard and moves fast. We are responsive and operate at lightning speed. This isn’t for the faint of heart.
  • We are project-based...but we aren’t. Recruitment is a continuous pursuit. You will need to adapt your thinking to take the wins as you roll into the next task.
